AI note taker for client meetings: bots, notice and calls other companies host

Last reviewed October 29, 2026

Quick answerFor calls a client hosts, a note taker that captures from your own computer spares the host from admitting a bot; Krisp does this by default. Granola does the same on every plan, Basic included.

AI note taker for client meetings: what changes when the client hosts

For client meetings, pick a note taker that captures from your own computer. Microsoft says Copilot in Teams is not available in meetings hosted outside the participant's own organization, and Krisp's optional bot needs the meeting host to authorize its entry. Krisp calls its default capture bot-free: it works at the audio level on your device, so no extra participant joins the call. Krisp Core is $16 per user a month billed monthly, or $8 billed annually.

A Krisp Bot is the optional participant Krisp sends into Zoom, Google Meet or Microsoft Teams calls, and other participants see it as a separate participant. In a Microsoft Teams meeting a client hosts, Microsoft's table lists a person from another organization as unable to start or stop a recording.

Options for client calls and what each shows the client

Granola describes bot-free, device-audio capture on every plan, including its $0 Basic plan, and Otter.ai describes recording from a Mac or Windows desktop app without bots joining the call. Read AI describes an assistant that joins the call. Otter.ai's and Read AI's monthly figures come from their page data.

Telling clients about notes

Tell the client before the notes start. Krisp has a setting named Notify others you're using Krisp, under Settings, Privacy & Consent. Krisp warns that some platforms may block chat messages or audio prompts, so participants should be told some other way as well. Its Terms of Use put the duty to give notice and obtain consent on the customer.

Platforms announce their own features: Google Meet informs all participants when Take notes for me is on, and Microsoft Teams notifies everyone when a recording starts. Granola recommends always asking permission before transcribing others. AI note taker consent sets out the recording rules in plain words.

Sharing notes with clients after the call

Krisp's Auto-Share, under Settings, AI Note Taker, Sharing, needs a connected calendar. Its All meeting invitees option sends notes to everyone on the calendar invite, external guests included. The team default is User's choice, so each user chooses unless an Admin enforces one option for the team.

Invitees who do not use Krisp receive the shared content after creating a Krisp account with the invite's email address. The meeting owner can check who has access and revoke it. Krisp's Terms say recap emails may go to meeting participants, and recap emails are a setting. In Microsoft Teams, guests see a recording only if it is explicitly shared with them.

Which team should pick which

  • Krisp Core for a team on Windows or Mac that joins client-hosted calls and wants no bot to admit.
  • Granola for bot-free capture on every plan. See the guide to note takers without a bot for the other bot-free options.
  • Read AI for a team that wants an assistant visible in each call.
  • Copilot in Teams only for internal meetings with a Copilot or Teams Premium license. Best AI note taker for Microsoft Teams compares it with a separate tool.

Consider an agency of 12 people that works in Microsoft Teams but sits in many calls other companies host. Copilot can cover the meetings its own people organize, and a note taker on each person's computer covers the client-hosted ones. Run one client call through Krisp's 7-day free trial first; Krisp's pricing page says no credit card is required.
